PI firms using SmartAdvocate already have a robust way to manage case information and store documents. But preparing timelines, generating medical chronologies, and producing demand letters often requires extra steps like moving files, organizing evidence, and double-checking that nothing is missing.
The Supio integration removes that friction. When a case is flagged in SmartAdvocate, Supio automatically creates a corresponding case, pulls in the right files, and starts processing them. Timelines, annotated chronologies, and draft demand letters appear in Supio – ready for your team – without the manual upload cycle.
From setup to sync: how it works
1. Connect Supio to SmartAdvocate
Setup is straightforward. Inside Supio’s Settings → Apps, firms can install the SmartAdvocate connector.
- Cloud-hosted users simply log in with their SmartAdvocate credentials.
Once connected, Supio automatically pulls your SmartAdvocate Case Groups. You map each one to the corresponding Supio Case Type – so “Auto Accident” can become “MVA,” ensuring timelines and demand letters are generated with the right context.
Admins can also decide how Supio should handle files. Automatic file sync is optional but powerful:
- Sync all files to pull in every supported document (PDF, DOC/DOCX, JPEG/JPG, PNG, TIFF).
- Sync by category/subcategory to include only relevant files like medical records and skip internal notes.
2. Flag cases for Supio to process
Once the connector is live, SmartAdvocate becomes the control center. Firms can flag cases for Supio in three ways:
- Tag (Recommended): Create a Supio case sync tag in Picklist Maintenance → Case Tags, mark it active, and apply it to any case.
- Task: Add a SmartAdvocate task with the subject Supio case sync.
- Note: Add a note with “supio case sync”.
Many firms set up a small automation in SmartAdvocate to apply this flag automatically – removing one more manual step. For self-hosted versions that don’t support tags, a note-based automation provides an easy workaround.
3. Supio handles the syncing
Once flagged, Supio does the rest.
- Twice a day (9 a.m. and 6 p.m. ET), Supio scans SmartAdvocate for flagged cases.
- New cases appear in Supio automatically, and existing cases pull in new documents.
- Automatic file sync, when enabled, queues every new document for AI processing: timelines, medical chronologies, case economics, and draft demand letters.
If something can’t wait for the next cycle, users can open the Supio File List and force a sync. Admins can also toggle file sync per case and view any failed uploads for retry or manual import.
